While the law can take a long time to change, proptech can revolutionise and re-engineer a property “pain point” and in turn experience rapid and organic adoption, inndox co-founder Trish Mackie-Smith says.

After two decades running BuildingPro, Brisbane-based proptech enthusiasts Trish and Andrew Mackie-Smith combined their collective experiences in property law, building consultancy, seller disclosure, commercial development and certification to roll out inndox, a next-generation property management tool.

“During that time together we saw the same issues arising time and time again,” Trish Mackie-Smith said.

“One of the clear constraints was the availability of a building’s records—particularly at the time of sale, purchase and leasing as well as warranty claims and defects issues.

“Most people wouldn’t buy a car without a logbook detailing its history with servicing and maintenance and we questioned why that centralised experience couldn’t be replicated within a property environment.”

The solution is a single application that generates property “logbooks” for online record management of the property’s life-cycle from planning and construction to handover and transfer of ownership.

“We wanted to streamline that handover process—which up until that point had been a pain point for property developers trying to pull all this information together at the culmination of a project,” Trish Mackie-Smith said.

“Currently 90 per cent of property handovers are delivered on paper, which can be damaged or easily be misplaced and on average 50 per cent of sales are delayed due to the requisite information not being readily available at sale time because it is sitting in multiple places.

“inndox packages this all up in a single application for a new owner and not only that, it also provides warranty and maintenance alerts and delivers accurate and up-to-date trade contacts to help that owner actively manage a new property.

“Some household warranties can last as long as 25 years and some cases can be split into a multitude of parts; take a solar panel for example—the inverter, the batteries, the panel itself—so we provide owners with an accurate and real time overview of every part of their property.”
The software provides developers with a range of tools and features such as templates—to quickly checklist required compliance information for a particular property, or cloning—to generate information requirements quickly across large scale projects such as apartment buildings.

“The program is not just for mum-and-dad investors or new owners, it is very much designed for top-tier property developers wanting to have that information digitised and available rather than having to have their consultants solving it,” Andrew Mackie-Smith said.

“It's a relatively new concept, and people are a bit set in their ways as the property industry is fairly traditional, however, the emergence of proptech has created a change in attitudes and the recent health crisis has fast-tracked the uptake in our product.

“Moving forward, when people are buying a property they will be asking for the building’s inndox in order to receive all the important information in one centralised handover.”

Taking advantage of the game-changing technology has been national building inspection company Jim’s Building Inspection, which has recently onboarded and digitised its reports.

Similarly, e-conveyancing platform LawLab has also connected with the proptech provider in order to bridge its platform for a seamless “handoff experience”.

“As well as top-tier developers, insurers, and building inspectors, property agents are also beginning to think outside of the box to give themselves a fresh, competitive edge,” Andrew Mackie-Smith said.

“They see inndox as an extension of their product offering, or as one agency recently labeled it a ‘gift’ to a new homeowner at the end of the sales process.

“Agents see inndox really as that next level for after-sale service that has been very much missing after a property handover.”

Case Study - Seville Residences Coorparoo

Joe Licastro of Signature Property Partners decided to use inndox at Seville Residences Coorparoo. The project consists of seven luxury two-storey residences each on their own title but sharing some common property driveways, fencing and landscaping.

inndox is a modern alternative to Developers and Builders providing a paper “Handover Pack” with some manuals left in the kitchen drawer.

Joe had previously worked for Hutchinson Builders as a Project manager and had delivered large projects such as a Hotel and a Bunnings hardware and he had experienced first hand the very time consuming and at times the frustrating task of collating the handover documents required by the contract and state legislation.

Using inndox, Joe was able to share the account with trades and consultants so they could add files to the ‘shared’ folder. This included as-built drawings, product manuals and the like. This saved time in collecting and sorting all of the documents.

Joe added a list of project contacts to the inndox to each owner could easily contact a trade or consultant that had worked on the project. This allows the customer to find the contact on their phone and call them directly, this provides a better level of service for the customer and saves valuable time for Joe after the Handover.

In a post-project interview, Joe told us that the best feature of inndox in his opinion was the Maintenance and Warranty alerts. With a simple set up using inndox, each property owner gets an email to remind them when planned maintenance is due or a warranty is soon going to expire. Some examples of this planned maintenance are Cleaning leaves out of roof gutters, Cleaning Air conditioning filters.

As part of the implementation of inndox at the project, monitoring and evaluation were carried out that included post-project interviews and surveys of the resident owners.

The inndox digital handover was utilized by Signature Property Partners (SPP) for smart, cost-effective, sustainable, transparent and convenient paperless delivery of their handovers of seven luxury freehold homes at Seville Residences, Coorparoo during May 2020 at the height of the very challenging COVID-19 restrictions.

Joe Licastro, Director of SPP was midway through the development of Seville Residences Coorparoo when he was introduced to the inndox digital handover solution. He was impressed by the uniqueness of the oering that could facilitate a paperless process during and post-construction to deliver reduced liability, compliance and far better customer experience, thereby enhancing his reputation as an innovative high-end developer.

Joe started by sharing an inndox login with tradespeople and consultants near project completion to enable direct upload of files such as ‘as-built’ drawings, certifcates of classifications, plumbing approvals, supplier information for the timber flooring etc. He wanted to ensure complete transparency for the owners. He utilised the inndox features such as “templates” for pre-populating accounts with relevant folders and the powerful “cloning” feature which allowed him to create duplicates of an existing property logbook including all its folders, filles, contacts, warranties and maintenance reminders to create the additional six logbooks. This greatly alleviated the laborious task - significantly reducing the administrative time and cost usually associated with the preparation, collation and delivery of handover materials.

The inndox digital handover triggers an email to each owner giving them access to their inndox logbook. This handover is time-stamped with all the files related to the handover accessible at any date in the future. This gives developers the convenience to find answers quickly for authorities, stake-holders, owners and successive owners should the need arise.

The developer branding continues for the life of the property, reaching future owners, tenants, and property professionals to increase the lifetime value of the project and increase referral opportunities.

According to Joe, some of the innovative aspects of inndox are the maintenance reminders and warranty alerts. Each owner now receives an email alert for maintenance checks and when a product or service warranty is soon to expire. After just one month of occupation, the owners have already received reminders to have gutters cleaned and air conditioning filters serviced.

Other necessary maintenance like annual termite inspections and hot water valve replacements are also scheduled so the owners can keep their luxury townhouses in peak condition. Handy trade contacts, suppliers and businesses involved in the project are included in the logbook for the owner to call or email directly from the app.

Mr North, owner of number 8 at Seville Residences Coorparoo appreciates the convenience of having access to all the approvals, certificates, plans, finishes schedules, maintenance instructions and appliance manuals. He enjoys having an app to add more information and share access with third parties including solicitors, accountants and property professionals. “I am delighted with the outcome and impressed with the whole experience of Seville Residences Coorparoo”.

Launched in 1994, theses Awards were created by the property development industry as a vehicle to recognise excellence and innovation. Receiving an Award is valued recognition for the recipients work as well as an honour given the winners are chosen by their peers.

The judging program is rigorous, taking eight months from launch through to the completion of judging.

Thankfully, it was just before the COVID-19 travel restrictions and post-travel lockdowns that  inndox met with business founders and property industry leaders to discuss strategic partnerships while in the UK and Singapore. 

With the grateful support of the Queensland Government, inndox was able to exhibit as the only Australian “PropTech” exhibitor at the global conference for the Built Environment, Futurebuild 2020. The event was held at the ExCeL conference centre in London from 2nd March to 5th March.

Over 25,000 people with a common interest in the future of proptech attended from all over the world. This provided the ideal environment to pitch inndox to hundreds of potential customers and gain feedback from an international audience, attend educational sessions on the future of the industry and to also learn about other incredible proptech and contech businesses demonstrating their products. There was a real buzz and excitement throughout the three day event at the London ExCeL - Exhibition and Trade Centre, London

Shortly after the exhibition, the ExCeL building was set up as a temporary hospital in order to accommodate London’s COVID-19 patients - a remarkable achievement of crisis management, adaptation and community coordination. Read about the conversion of the ExCeL into the nightingale hospital here.

While in London, we also met with Warren Bartlett, Deputy Commissioner for Queensland Investment and Trade in London at Australia House. He very obligingly introduced inndox to a number of property developers, insurers, home builders and other industry organisations on our behalf. 

The London visit was both positive and encouraging with exciting new learnings and contacts made that can persist throughout the current economic lock-downs and lead to increased business post pandemic.

It was during the stop-over in Singapore on the return journey that some exciting new business developments came about and these strategic negotiations have been able to continue despite the COVID-19 pandemic. 

It was a privilege to meet with Anthony Chow and Best Haputpong, the founders of igloohomes who have successfully been providing digital door locks in over 100 countries.

Their igloohomes solution helps businesses “manage access efficiently and effectively while eliminating the hassle of physical key management.” You can “retrieve information with ease and perform complete audit trails to keep your assets and property secure at all times” An innovative, smart-cities digital solution that has an obvious synergy with the inndox “digital property logbook” solution.

It's likely that over the next decade we will see the majority of Australia’s Buildings changing over to digital locks as they have done in other technologically advanced countries.

Another partnership meeting in Singapore…

It was also a great pleasure to have been able to meet with the company executives, Russell Kok, Willie Lian and Ernst Ong, the founders of Qornerstone - another proptech software company based in Singapore. Qornerstone provides property managers and building managers with online financial management for around 500 properties. They expressed a very keen interest in expanding into the Australian market by partnering with inndox. We are currently exploring their product and looking at ways to collaborate in order to strengthen both our offerings and scale into additional markets.
